A new opportunity has arisen for an experienced Personal Assistant to play a key role in providing administrative support to the Divisional Managing Director for the SSW Specialist Division. The ideal candidate will be a flexible and experienced administrator with the ability to work unsupervised and effectively under pressure using their own initiative.
Duties will include:
• Maintain and organise diaries for the Divisional Managing Director
• Ensure that expense claims are processed in timely manner using the Requisoft system
• Ensure invoices are approved in a timely manner using the Requisoft system
• Assist Area Mangers as and when required
• Arrange meetings and rooms for meetings, arrange refreshments for same
• Ensure the office environment is maintained to an high standard of organisation
• Ensure adequate supplies kept on site
• Professional telephone manner
• Ability to act as first point of contact
• Ability to priorities and organise workload
• Co-ordination of arrangements for visitors and consequential support
• Line Manage office administrator
Experience / Attributes
• PA / Office Management experience
• Minimum two years office experience
• Confident and well organised
• Excellent accuracy and attention to detail
• Ability to work well under pressure
• Ability to prioritise workload
• Flexible on time, adaptable attitude
• Excellent verbal and written communications skills with ability to communicate at all levels
• Calm telephone manner
• Excellent secretarial skills i.e. Word, Outlook and Excel
